Background
Universities South Africa plays a key role in advocacy, strategic research, and sector support services for public universities. The Executive Office is based in Pretoria, and as a non-profit organization, it is funded through membership fees and revenues from contract management services and donor agencies.
Internship Overview
The Receptionist Intern position is part of an Internship Programme designed to provide unemployed graduates with opportunities to gain work experience over a period of twelve (12) months.
Key Responsibilities
- Manage the front desk, including attending to telephones, directing calls, and taking messages.
- Manage the flow of visitors and direct them appropriately.
- Receive, sort, and distribute mail and other documents.
- Ensure the reception area is tidy, presentable, and stocked with necessary materials (e.g., brochures).
- Perform administrative duties such as minute-taking, filing, photocopying, transcribing, and faxing.
- Coordinate meetings and organize catering as needed.
- Provide general administrative support to various sections.
- Maintain office security by following safety procedures and controlling access via the reception desk.
- Maintain proper filing of documents and archive documents older than three years.
- Perform any ad hoc duties as required.
Requirements
To be considered for this position, applicants must meet the following criteria:
- A relevant bachelor’s degree or equivalent qualification.
- Knowledge of administrative and clerical procedures.
- Understanding of customer service principles and practices.
- Computer literacy in Microsoft Office (Word, Excel, PowerPoint).
- Solid written and verbal communication skills.
- Excellent organizational skills.
- Professional attitude and appearance.
